Privacy Notice

1. Who we are
Softech Microsystems ("Softech", "we", "us", "our") is a systems integrator and IT solutions company based in Karachi, Pakistan, and a member of Softech Group. This notice explains how we collect, use, share and protect personal information when you visit softechms.com (the "Site"), contact us, register for our webinars and events, book meetings, receive our communications or otherwise deal with us as a business contact. Softech Microsystems is responsible for that information.
Purchases on softech.store are also covered by the privacy notice published on that site. Where a technology vendor co-hosts an event with us, that vendor's own privacy notice applies to the information it receives, and we will tell you at registration when that happens.
We work with businesses and public-sector organizations. We deal with individuals mainly in their professional capacity.
2. Information we collect
Information you give us: your name, job title, department, employer, company email address, mobile or work phone number and business address; the content of your enquiries; quote and order details; webinar and event registrations; meeting bookings; support requests; and your communication preferences.
Information collected automatically: your IP address and approximate location (country or city); browser and device type and language; pages viewed, referring page, and dates and times of visits; and cookie identifiers. We also record whether our emails are delivered and opened and whether links in them are clicked.
Information from other sources: business contact data providers and public professional sources; Softech Group affiliates; technology vendors and their distributors (for example, referred enquiries or registered deals); event co-hosts; and the organization you work for.
Sensitive information: we do not ask for sensitive personal information, such as CNIC or passport numbers, health information or bank account details, through the Site. Please do not send it through our forms or by email.
3. How we use information
- To respond to enquiries and provide quotes, proposals and technical advice.
- To enter into and perform contracts: supplying products, licenses and subscriptions, registering them with vendors, and delivering implementation, managed and support services.
- To run webinars, events, demonstrations and meetings you register for or book, including verifying that registrants represent a business.
- To send business communications about products, services and events relevant to your role (see section 4).
- To understand how the Site and our communications are used, and to improve them.
- To secure the Site and our systems and to prevent fraud, abuse and security incidents.
- To comply with law, including tax and accounting duties, and to establish, exercise or defend legal claims.
We do not use automated decision-making that produces legal or similarly significant effects on you.
4. Business communications and your choices
We may contact business professionals by email or phone about offerings relevant to their role. Every marketing email identifies Softech Microsystems and contains an unsubscribe link. We act on opt-out requests promptly. After you opt out we may still send you messages about quotes, orders, renewals and support. Webinar join links are personal to the registered person and must not be shared.
We will tell you before we record a call, meeting or webinar.
5. How we share information
- Service providers who process it for us under contract, such as website and business-system hosting, customer relationship management, email delivery, communication tools and IT services.
- Softech Group affiliates in the United Arab Emirates and the United States that support sales, engineering and back-office work.
- Technology vendors and their authorized distributors, as needed to register opportunities, quote, supply and activate products and to provide warranty and support. Their use is governed by their own privacy notices.
- Event co-hosts, only when you register for an event we tell you is co-hosted.
- Professional advisers under confidentiality duties.
- Authorities, where required by law or to protect the rights, property or safety of Softech, our customers or others.
- In a business transaction, such as a merger or sale of assets, subject to confidentiality.
We do not sell personal information.
6. Cookies
We use first-party cookies set by our website platform: strictly necessary cookies (sessions, security, forms, your cookie choice), preference cookies (such as language) and first-party analytics. You can accept or decline optional cookies in the cookie banner and can delete or block cookies in your browser. Blocking necessary cookies may stop parts of the Site from working.
7. How long we keep information
- Enquiries and prospect records: up to 3 years after our last meaningful interaction, unless you become a customer.
- Customer, contract, order and invoice records: for the life of the relationship plus the period required by Pakistani tax and corporate law.
- Webinar registration and attendance records: up to 3 years.
- Site analytics: up to 13 months.
- Marketing opt-out records: kept indefinitely so that we continue to honour your choice.
8. Security
We use administrative, technical and physical safeguards appropriate to the information we hold, including encryption in transit, least-privilege access controls, multi-factor authentication for business systems and contractual security requirements for service providers. No system is completely secure. If a security incident affects your personal information, we will act as the applicable law requires.
9. International transfers
Our service providers and affiliates may process information outside Pakistan, including in the United Arab Emirates, the United States and the European Union. We protect transferred information through contracts, confidentiality obligations and the safeguards in this notice.
10. Your rights
You may ask us to confirm whether we hold your personal information, give you a copy, correct it, delete it, or stop using it for marketing. If data protection law in another country applies to you (for example in the EEA, UK or a US state), you may also have the additional rights that law gives you, including the right to complain to your local data protection authority. To make a request, email us at the address in section 12 with the subject "Privacy Request". We may need to verify your identity and will respond within 30 days.
11. Children
The Site and our services are intended for businesses and are not directed to children. We do not knowingly collect personal information from anyone under 18.
